Salesforce Connector Optional Settings Reference

This article covers optional settings for your Salesforce connector.

Optional Connector Settings

When editing or setting up your Salesforce connector, mark these boxes to enable any additional options:
Option Effect
Automatically create prospects in Pardot if they are created in Salesforce With this feature turned on, a new prospect will be automatically created in Pardot when a lead or contact (with an email address that is not already associated with a prospect in Pardot) is created in Salesforce. An email address is required on the lead or contact record — either when the lead or contact is created, or added to the record later — in order to sync to Pardot. This feature is not retroactive and will only create prospects in Pardot for leads and contacts created after this setting has been enabled. Select a Default campaign from the dropdown for any prospect created with this option.
Automatically change emails in Pardot to reflect changes in Salesforce If an email address of a lead/contact is updated in Salesforce, the Pardot prospect will be updated to reflect this change. Note: This setting is enabled by default for all new connectors. If you disable this setting Pardot will no longer sync that Salesforce record to the corresponding Pardot Prospect if the email address of a Salesforce record changes. Because it's no longer connected to a Salesforce record, the next time that Pardot Prospect is ready to sync to Salesforce it will create a new one based on your connector preference for creating Leads or Contacts. The new Lead or Contact will sync with that Pardot Prospect until the email address changes again. More information.
Automatically match Salesforce users to Pardot users This option allows you to automate matching CRM user seats to Pardot users for use with the Send from Custom CRM User feature. When Pardot syncs with Salesforce if Salesforce users' email addresses match those of Pardot users, their records will be automatically matched.
Automatically delete or merge prospects if the corresponding records in Salesforce are deleted or merged If a lead or contact is deleted or merged in Salesforce, the corresponding prospect in Pardot will be deleted or merged automatically. See the Merge and Delete section for more information
Exclude Salesforce "Partner" and "Customer Portal" users from Prospect assignment This option will exclude Salesforce Partner and Customer Portal users from displaying in the "CRM Username" dropdown when you edit a user in Pardot.
Allow editing of Prospect lists within the CRM Checking this box allows CRM users to add/remove prospects from Pardot lists from within the CRM. If you check this box, you must add the VisualForce elements to your Lead and Contact page layouts. More information.
Connect to a Salesforce sandbox account  This option gives you the ability to connect to a Salesforce sandbox account. More information.
Sync emails with the CRM This automatically logs an activity for every email sent to a prospect (list, drip, autoresponder and 1-to-1 prospect emails). NOTE: This can quickly fill up your activity views, especially on an account object. This will log an activity for every email. Enabling and disabling Email Logging in Pardot is not retroactive. If you sense that the email logging might interfere with your workflow in Salesforce, it is recommended that you do not enable 'Sync emails with the CRM.' Note: Emails cannot be selectively synced. All emails will be synced.
Sync Engage emails with the CRM This automatically logs an activity for every email sent to a prospect using Salesforce® Engage. Note: This setting is only available for accounts with Salesforce® Engage. Note: Emails cannot be selectively synced. All emails will be synced.
Sync plugin emails with the CRM
This logs an activity for any emails your users send via Pardot for Microsoft Outlook, our Thunderbird extension, our Apple Mail plug-in, add-in for Gmail, and Engage for Gmail. The default activity type in Salesforce can be changed by taking the steps outlined here. Note: The email activity recorded in Salesforce will be attributed to the connector user, not the user who sent the email. Note: Emails cannot be selectively synced. All emails will be synced.
Enable Salesforce emails for task creation Enables Salesforce to send a notification email to your user when a task is created. 
Enable Salesforce emails for active assignment rules Enables Salesforce to send a notification email to your user when active assignment rules run. Note: These emails are sent from Salesforce. You must specify an email template during assignment rule setup in Salesforce, otherwise the emails will not be sent. See Salesforce's Set Up Assignment Rules documentation for more information. 
Enable Salesforce emails for user and queue assignments Enables Salesforce to send a notification email to your user when an assignment takes place to a user or queue.
Send Pardot notification emails when a merge is synced down from Salesforce Enables a Pardot notification email to your connector user when a lead or contact record is merged in Salesforce and syncs down to Pardot. Your connector user must be a Pardot user to receive these notifications. 

Note: If a user manually merges prospects in Pardot, the the initiating user will receive a merge notification email. 

Note: In accounts that allow multiple prospects with the same email address, this is Pardot's default behavior. This setting is not visible or editable in these accounts.

Salesforce Merge and Delete

The following tables describe how Pardot handles prospect records in different scenarios when Automatically delete or merge prospects if the corresponding records in Salesforce are deleted or merged is enabled.

Note: Using the attach to existing contact function in Salesforce to convert a duplicate lead to a contact is not currently supported with Pardot. Both prospects will still exist in Pardot. However, the prospect that originally synced with the resulting contact record will continue to sync, and the prospect that originally synced with the record that was attached will not sync with anything.

How Delete Cases Work

Salesforce Pardot
The a@a.com lead is deleted. The a@a.com prospect will be archived.
The a@a.com lead is undeleted. The a@a.com prospect will be unarchived.

How Merge Cases Work

Salesforce Pardot
a@a.com is merged with b@b.com. a@a.com is the master and b@b.com is deleted. Both a@a.com and b@b.com records exist in Pardot. a@a.com becomes the master. All of the b@b.com activities, tags, lists, and Salesforce campaigns are copied to the a@a.com prospect record. The b@b prospect record is permanently deleted.
a@a.com is merged with b@b.com. a@a.com is the master and b@b.com is deleted. Only b@b.com exists in Pardot. The prospect's email will be updated to a@a.com and the prospect's CRM ID and View in CRM link will be updated to point to the new master record in Salesforce. During the next sync cycle, all of the fields from the master record in Salesforce will sync down to the updated prospect record in Pardot.
a@a.com is merged with b@b.com. a@a.com is the master, but retains the b@b.com email address. Only b@b.com exists in Pardot. The prospect's CRM ID and View in CRM link will be updated to point to the new master record in Salesforce. During the next sync cycle, all of the fields from the master record in Salesforce will sync down to the updated prospect record in Pardot.
a@a.com is merged with b@b.com. a@a.com is the master and b@b.com is deleted. Only a@a.com exists in Pardot. Nothing will happen in Pardot.

Notes

  • To use this feature, Automatically change email addresses in Pardot to reflect changes in Salesforce must be enabled. If it is not, Pardot will enable it when Automatically delete or merge prospects if the corresponding records in Salesforce are deleted or merged is marked.
  • This option requires that the connector user has delete permissions for the ObjectChangeLog in Salesforce. Read more about required connector user permissions.
  • This option requires the connector user to have visibility to 'pi__ObjectMasterRecordEmail__c' and 'pi__ObjectMasterRecordId__c' located in 'pi__ObjectChangeLog__c' in Salesforce. To assign the permission set to your connector user, navigate to Setup > Manage Users > Permission Sets > Select Pardot connector user > Manage Assignments > Select the connector user > Click Add Assignments.
  • Optional: Enterprise level editions and above can update the field level security in Salesforce for the connector user instead of assigning the Pardot connector user permission set. To do this, Navigate to Setup > Create > Objects > ObjectChangeLog > Custom Fields and Relationships > select each field > Field Level Security > mark Visible next to your connector user’s profile.
  • This option is not retroactive. Only prospects who are deleted or merged after the option is enabled will be affected.
