Database Limits and Overages FAQ

What is a database limit?

A database limit is the maximum number of mailable prospects in your Pardot account database. All accounts start with a database limit of 10,000 prospects. You can add additional blocks of 10,000 prospects by reaching out to our renewals team.

What counts towards my database limit?

Mailable prospects count toward your database limit. Mailable prospects are prospects that can receive emails through Pardot (they have not unsubscribed, had a hard bounce or 5 soft bounces, and were not manually opted out by a user). Prospects in your Recycle Bin do not count toward your limit.

How do I check my database usage?

To check your database usage, navigate to your account settings and scroll down to the Usage table.

What happens when I get close to or reach my database limit?

When you approach or exceed your database limit, Pardot displays an in-app message and sends an email to your account's point of contact for Renewal Notices, Usage Limits, Database Size and to the most recently logged in user with import prospect permissions. The type of message you'll receive depends on whether you are approaching your limit or have a database overage.

Database limit warning

When the number of mailable prospects in your database is within 1000 prospects of your database limit, Pardot will warn you with an in-app message and an email to your account's point of contact for Renewal Notices, Usage Limits, Database Size and to the most recently logged in user with import prospect permissions:

You are approaching your database limit of XX,XXX mailable prospects. Learn More
You can dismiss this message, but it will appear once a month for as long as you are nearing your database limit.

Database overage message

When you've gone over your database limit, Pardot will alert you with an in-app message and an email to your account's point of contact for Renewal Notices, Usage Limits, Database Size and to the most recently logged in user with import prospect permissions:

Warning! You have exceeded your database limit of XX,XXX mailable prospects. Learn More
You cannot dismiss this message, and you will need to contact Pardot to resolve the issue.

If your account is still over the database limit after five business days, another email requesting immediate action is sent to your account's point of contact for Renewal Notices, Usage Limits, Database Size and to the most recently logged in user with import prospect permissions.

According to Pardot's terms of service, a period of 10 business days from first notice will be provided to reconcile the excess usage.

What should I do when I get an overage message?

As your database grows, you may need to expand or clean up your database. If you'd like to expand your database, please fill out a Pardot Database Request and a Pardot team member will reach out to you to discuss options.
