Prospect List Overview

Pardot organizes your prospects into a variety of categories and allows you to sort by activity date. To access the Prospect List, navigate to Prospects > Prospect List.

If you are a Marketing, Administrator, or Sales Manager user, you can change the View in the prospect table to one of the following options. If you are a Sales user, you will only see prospects assigned to you. You can also filter the table by Tags or other values entered manually, and change the Date Range dropdown to filter by a specific time period.  Click on a prospect's name to view a detailed profile page.

Table Views

The following views are available:

  • Active Prospects: Displays prospects that have had at least one activity besides an email send, email open, email bounce, or opportunity. For a full list of available prospect activities, see the Prospect Activity Glossary. For information active prospects, see What is an active prospect?
  • Active Prospects for Review: Displays active prospects that are not assigned to a user in Pardot and have not been marked as reviewed.
  • All Prospects: Displays all prospects in your account.
  • Assigned Prospects: Displays all prospects that are assigned to users in your account.
  • Mailable Prospects: Displays all prospects that can receive emails through Pardot (they have not unsubscribed, had a hard bounce or 5 soft bounces, and were not manually opted out by a user).
  • My Prospects: Displays all prospects assigned to you in Pardot.
  • My Starred Prospects: Displays all prospects assigned to you in Pardot that you have manually starred. Prospects can be starred by clicking the gray star next to the prospect's name in the prospect list or by clicking the star next to the prospect's name in their individual prospect record. Stars are applied on an account-wide basis, so if one user stars a prospect, it will be starred for all users in that account.
  • Never Active Prospects: Displays prospects that have never been active.
  • Prospects not in Salesforce: Displays prospects that are neither leads nor contacts in Salesforce. Note that this view is only available in accounts with a verified Salesforce connector.
  • Reviewed Prospects: Displays prospects that have been marked as reviewed (see What should I do with "bad prospects" who provide false data? for more information).
  • Unassigned Prospects: Displays prospects that are not assigned to a user in Pardot; this includes prospects that have been marked as reviewed.
  • Unmailable Prospects: Displays prospects that have opted out of email communication in Pardot, were imported and globally opted out, were manually marked as “Do Not Mail”, or had a hard bounce (or 5 soft bounces) when emailed through Pardot.
  • Unsubscribed Prospects: Displays prospects that are unmailable because they have opted out of email communication in Pardot by clicking the unsubscribe link in an email or on an email preference page.

Customizing the Table

You can sort and rearrange the table to suit your needs. You can do any of the following to customize your table:

  • Add and remove columns
  • Sort columns by ascending or descending order
  • Rearrange and resize columns

Adding and Removing Columns

You can easily add and remove columns by doing the following:
  1. Click the Filter icon on any column.
  2. Hover over Columns.
  3. Mark columns to display them. Unmark any columns to hide them.

Available Columns

Columns display values from the prospect's record. The following columns are available:

  • Starred ( )
  • Name
  • Job Title
  • Email (email address)
  • Company
  • Grade
  • Score
  • Last Activity
  • Created At
  • Updated At
  • First Assigned
  • Assigned User
  • Tags

Sorting Columns in Ascending or Descending Order

You can sort a column's values by ascending or descending order. Click on the column's title once to sort in ascending order. A triangle icon will appear -- click it again to sort in descending order.

Rearranging and Resizing Columns

To rearrange the columns, click a column title and drag it to the target location. To resize a column, over over the column border, then click and drag to resize.

Resetting the Table

If you need remove your table customizations, navigate to Tools > Reset table to default.

Exporting Table Data to CSV

You can export your custom table or the default table data.

Exporting your Custom Table Data

The custom CSV export includes only the data from the columns you've chosen.
  1. From the Prospects table, click Tools.
  2. Click Custom CSV Export.

Your download will begin automatically.

Exporting the Default Table Data

You have two options for exporting the default table data to CSV:
  • Express Export: Includes default dields, overall score, and grades.
  • Full Export: Includes custom fields, default fields, scores, scoring category scores, and grades.
To export table data, do the following:
  1. From the Prospects table, click Tools.
  2. Click CSV Export.
  3. Choose Express Export or Full Export.
  4. Click Export.
