User Variable Tags in Email Overview

When sending an email template, the way your User Field variable tags populate will depend on a few factors.  Is the recipient assigned to a user? Is the email being sent from a user, or from a general name and address? When choosing a From address sender, the email send logic will cascade, or fall back, to the next specified sender.

You must specify a General User or Specific User to send from in addition to more advanced options like Send from Account Owner, Send from Assigned User or Send from CRM User Custom Field. 

Here is a brief guide to the different possibilities:

If "From Name/Email" = Prospect CRM User Custom Field

  • Name/Email will appear from the value stored in the Prospect CRM User Custom Field
  • Variable User fields will be inferred and populated from the Prospect CRM User Custom Field values.
The Salesforce connector has an optional setting: "Automatically match Salesforce users to Pardot users". Toggling this option on allows you to automate matching CRM user seats to Pardot users for use with the Send from Custom CRM User feature on the Email Template and Email Send levels. automatically match salesforce users to pardot users If "Send from Prospect CRM User Custom Field" is selected, but the prospect has no value for that field, the email will appear to come from the Account owner. If there's no account owner, the email will appear to come from the Prospect's lead or contact owner in the CRM, which is the prospect's assigned user in Pardot. If there is no assigned user for the prospect, the From Sender will fall back to the set General User or Specific User.

If "From Name/Email" = Account Owner

  • Name/Email will appear from Prospect's Account Owner
  • Variable User fields will be populated from the Account Owner's User record
If "Send from Account Owner" is selected but the prospect has no account, the email will appear to come from the Prospect's lead or contact owner in the CRM, which is the prospect's assigned user in Pardot. If there is no assigned user for the prospect, the From Sender will fall back to the set General User or Specific User.

If "From Name/Email" = Assigned User

  • Name/Email will appear from Prospect's Assigned User
  • Variable User fields will be populated from the Prospect's Assigned User record
If there's no assigned user for the prospect, the From Sender will fall back to the set General User or Specific User.

If "From Name/Email" = Specific User

  • Name/Email will appear from the User selected
  • Variable User_fields will be populated from the User record selected

If "From Name/Email" = General User

  • Name/Email will appear from the general Name/Email selected
  • Variable User fields will be from the logged-in User* in Pardot
*Variable User fields will come in empty if this Scenario is sent via a drip program

If Sending Pardot Email from Salesforce

When sending a one-to-one email from Salesforce using Send Pardot Email, the email will send from the user who is logged into Pardot. The variable tags will pull in the logged-in Pardot user's info, even if it's different from the Contact or Lead Owner.
