Viewing "Active" & "Inactive" Prospects in Microsoft Dynamics CRM

Last Updated: Apr 11, 2016 | Print this Article

When prospects are inactive in Microsoft Dynamics, their records will still stay in Pardot, but they won't continue to sync any new activities. If you want to be able to identify the CRM status of prospects in Pardot, you can take the following steps: 1. Open Microsoft Dynamics, go to a contact/lead in Internet Explorer. Hit F12 once you’re there.
  • Left click in the bottom left box and hit CTRL+B then left click on the status field name.

2. Open Pardot and create a new prospect custom field. Administration > Prospect Fields > Create Custom Field. You can name this field accordingly.

  • Link the new field to the “statecode”/ ”Status”

3. You’ll see this displayed in each prospect record: 4. In Pardot, create a new dynamic list for 'Active': Marketing > Segmentation
  • Create an “active view” using a Dynamic list while matching the following:
    • Prospect CRM status is 'Contact' or 'Lead' and Prospect CRM custom field – Status of Prospect active-inactive is 'Active'
5. Now you can create another dynamic list for 'Inactive': Marketing > Segmentation
  • Create an “inactive view” using a Dynamic list while matching the following:
    • Prospect CRM status is 'Contact' or 'Lead' and Prospect CRM custom field – Status of Prospect active-inactive is 'Inactive'

6. Update your contacts by importing them back into Pardot and it will sync with Microsoft Dynamics CRM. 7. When step 6 is complete, you should have the ability to see all the active/inactive prospects to sort/delete/update as you wish.

If you are unsure about the effects that deactivating leads/contacts in Dynamics will have on Pardot, please read the article entitled, "What to do with Bad Contacts and Leads in MS Dynamics."
