Salesforce Engage Team Reports

Sales managers, marketers, and admins can report on team Engage email usage and impact. View aggregated stats on emails that were sent via Engage Campaigns or Engage for Gmail. Drill in and compare stats for individual sales reps and identify the top performing templates by email opens and clicks.

Engage Team Reports is available in Classic and Lightning Experience.

Set Up Team Reports

These instructions are for a Salesforce admin.

Install the Engage Reports Package

  1. Get the package.
  2. Click Install for Admins Only, then click Install.
  3. Wait for the package to install, then click Done.

Assign Permission Sets

Assign the Engage Reports (Connector User) permission set to your Pardot connector user.

Assign the Engage Reports (End User) permission set to all users that need to view and run reports, and all users that send Engage Campaigns.

  1. Navigate to the Engage Reports Permissions tab.
  2. Set the view to Unassigned Users.
  3. Assign and unassign permissions sets as needed.

Share Reports Folder

Share the Engage Reports folder with any non-system admins that need access to the reports.

  1. Navigate to Reports and find Engage Reports.
  2. Hover over Engage Reports, then click the pin icon.
  3. Click Share, then choose the appropriate sharing on the next screen.

Add Engage Team Reports Tab

Engage Team Reports is available in Classic and Lightning Experience. Add the Engage Team Reports tab to an app.

Using Engage Team Reports

Use the dropdrowns to filter your reports to the exact level of detail you want (1).

The date picker lets you narrow your reporting to a specified time period (2). Click any hyperlinked text to drill further into the data (3).

Considerations and Guidelines for Engage Team Reports

  • What the My Team's Engage Sends filter shows is determined by your user role hierarchy in Salesforce. If your admin has changed sharing settings of custom objects in the Team Reports package, this filter may not work as expected.
  • You don't need an Engage license to use Team Reports.
  • The Send Engage Email button only works for users with an Engage License.
  • Reports data created from the team reports objects counts toward your data storage limits in Salesforce.
  • The custom objects created in the Engage Team Reports package do not count toward your custom object limits for your Salesforce edition.
  • The Engage Reports folder is set to private by default.
  • We recommend you assign the connector user the View Setup and Configuration permission. This permission makes it easier for our support team to troubleshoot issues.
  • Template data includes only stats from Engage sends. It does not include data from other Pardot emails such as list emails and engagement programs.

Custom Object and Field Definitions

Do not delete or edit records related to these custom objects. You will break Engage Team Reports. If you want to customize reports, make a copy.

Engage Send Object

Fields

  • Name: message subject line
  • Owner: user that created the Engage send. This field is critical for the "My Teams" filter to work correctly.
  • Created By: always the Engage Team Reports connector user.
  • Engage Email Template: reference to the email template used in this send. May be null if no template was used.
  • Sent At: when the message was sent to recipients.
  • Type: Constant indicating what variety of Engage send this is. 0 is Engage Campaigns, 1 is Engage for Outlook, 2 is Engage for Gmail.
  • Composite Key: source id used for upserting; not used in reports.
  • Total Hard Bounces: total hard bounces for all recipients in this send.
  • Total Soft Bounces: total soft bounces for all recipients in this send.
  • Total Sends: number of emails sent.

Engage Email Template Object

Fields

  • Name: template name
  • Owner: the Engage Team Reports connector user.
  • Created By: the Engage Team Reports connector user.
  • Subject: template subject line.
  • Composite Key: source id used for upserting; not used in reports.

Engage Contact Stat Object

Fields

  • Name: Not used in reports.
  • Owner: always the Engage Team Reports connector user.
  • Created By: always the Engage Team Reports connector user.
  • Engage Send: reference to the Engage Send this stat belongs to.
  • Contact: reference to the contact that the activity in this stat object belongs to.
  • Version: used to version schema changes. Currently always 1. Be advised this may change if we need to make schema changes in the future, do not use this field in filters.
  • Composite Key: source id used for upserting; not used in reports.
  • Hour: this stat object represents activity for a one hour period, starting with the value of this field.
  • Sends: number of sends to this contact as part of this Engage Send over this one hour period. This value should never be more than 1.
  • Opens: number of opens from this contact as part of this Engage Send over this one hour period.
  • Clicks: number of clicks from this contact as part of this Engage Send over this one hour period.
  • Soft Bounces: number of soft bounces to this contact as part of this Engage Send over this one hour period.
  • Hard Bounces: number of hard bounces to this contact as part of this Engage Send over this one hour period.
  • Unsubscribes: number of unsubscribes from this contact as part of this Engage Send over this one hour period.

Engage Lead Stat Object

Fields

  • Name: not used in reports.
  • Owner: always the Engage Team Reports connector user.
  • Created By: always the Engage Team Reports connector user.
  • Engage Send: reference to the Engage Send this stat belongs to.
  • Lead: reference to the lead that the activity in this stat object belongs to.
  • Version: used to version schema changes. Currently always 1. Be advised this may change if we need to make schema changes in the future, do not use this field in filters.
  • Composite Key: source id used for upserting; not used in reports.
  • Hour: this stat object represents activity for a one hour period, starting with the value of this field.
  • Sends: number of sends to this lead as part of this Engage Send over this one hour period. This value should never be more than 1.
  • Opens: number of opens from this lead as part of this Engage Send over this one hour period.
  • Clicks: number of clicks from this lead as part of this Engage Send over this one hour period.
  • Soft Bounces: number of soft bounces to this lead as part of this Engage Send over this one hour period.
  • Hard Bounces: number of hard bounces to this lead as part of this Engage Send over this one hour period.
  • Unsubscribes: number of unsubscribes from this lead as part of this Engage Send over this one hour period.
